Dozens, possibly hundreds of scenarios make synchronization and migration of Outlook accounts (hosted in Exchange Server or Office365) a seriously valuable solution. Here’s a few of them. Which one could you benefit from?
Consultants, teachers, freelancers benefit from calendar synchronization!
Many people across many professions using Microsoft services can benefit from synchronization. For example, consider how many people have their own Office365 account; or, have been assigned more than one Outlook account by an employer (typically hosted on Exchange Server, or O365). These may include consultants, professors & teachers, external salespeople, or simply young professionals and freelancers working for different firms.
Moreover, if you work for more than one employer, chances are you know a good horror story or two involving calendar schedule conflicts. But it doesn't stop at calendars. You might collaborate on tasks, share public folders or contact lists...whatever the data item in Outlook, you can synchronize multiple, across different servers or domains. Your first 30 days using our SaaS service are on us.
A regular day in the life of a professor, consultant or freelancer can be hard enough. And juggling your work meetings with your customers' or your colleagues’ schedule can be challenging. Or, your clients might have the habit of changing their internal meetings often. It might not be easy to find an open window to get together and talk; while missed or cancelled appointments are annoying and costly, to say the least.
Meanwhile, the modern economy thrives on skilled people working for multiple companies in various roles. This leads to the necessity of using multiple Outlook accounts, which, consequently, can lead to errors in schedules. And such errors can be very costly in these competitive times.
See how easily you could sync calendars with anyone in this short video.
A few options exist...
The best of which is server-side synchronization of Exchange / Outlook items, such as two calendars. For a low monthly cost, you get a fully secure and reliable 24/7 service. There’s no installation and the whole process – from online order, to setup, to syncing accounts – can be done in minutes. Thus, you pay for exactly what you use; starting and stopping the service as you like, while relying on predictable service, support and costs.
Server to server integration means it doesn’t matter which device you’re using, or where you are. Whenever you make a change, everything is synchronized at the server level so everyone sees real-time information. This is especially important when you are working outside of the office, in the field or even just scheduling meetings and appointments during your daily commute.
What Outlook items are supported?
Good question. First off, Outlook items are so-called for their specialized functionality. These include emails, calendars, tasks, contacts, public folders and more. Our application supports all of them.

But what about Exchange Active Sync?
As we wrote in this blog about 4 ways to sync multiple Exchange Servers, “Exchange Active Sync (EAS) is a protocol used to sync emails, contacts, calendars and tasks, on mobile devices. However, all of these are only synced on your device, not the Exchange server itself, meaning this synchronization only works on your mobile with the EAS set up. What´s more, EAS only works within mobile devices and cannot be used in Exchange Online or desktop versions of Outlook, Thunderbird or Mail OS X.”
Putting everything in one calendar is a must
Your work results often depend on effective communication with your colleagues, and, customers.
You need to have everything in one place – your company’s Outlook calendar should be synchronized with all of your team’s and client’s calendars.
Moreover, you need your synced calendar to be editable from any device, at any time.
The benefits of one calendar are not hard to see:
#1 Improve efficiency and communication
Sharing your calendar with your colleagues and clients can improve the co-operation between team members, facilitate engagement, and boost productivity.
It is important your synced calendar works on all devices, so you can edit it always, no matter if you are on the road or in your office.
#2 Optimize the workflows
One calendar gives you a better idea of everyone’s obligations and availability and helps you choose the right person for the right task.
You can also see how much time was spent for a certain project and improve planning and forecasting of a workflow.
#3 Keep everyone on the same page (or calendar)
It’s simple to do with this solution. No technical skills required. Select the accounts to sync, what items (calendars, contacts, etc) and how often – the service simply runs and everyone stays up to date.
Migrating to O365 or merging business units
Beyond only syncing calendars, this application is being used to synchronize and migrate data from older Exchange Server versions to Exchange Server 2016, and to Office365.
With the on-premises(self-hosted) option, an IT admin can easily synchronize and/or migrate the entire Exchange model to O365. This translates into a streamlined migration process, with zero downtime, and no lost Outlook account settings. The implications for companies involved in mergers and acquisitions, and business consolidation are far-reaching as Outlook continues to be the backbone of employee communication.
Therefore, keeping people happy often involves not messing with their Outlook mailbox. Experienced CTOs and IT professionals know this all too well, and that’s one of the reasons they choose our application.
For instance, consider a company needing to merge business units and thus, also on-premises Exchange Servers; or Office365 Outlook accounts. With our application the synchronization process is seamless and non-disruptive – no downtime!
Moreover, once you decide to move to Office365, you already have a solution to move all Exchange Server / Outlook data. Thus increasing the motivation and the likelihood of a timely, stress-free migration to O365, without the months of deliberation and cost accumulation.
Calendar synchronization in high-security environment
A company’s Exchange Server security models differ significantly. One is highly secure so it can’t be used outside the company; another is public yet limits the mailbox data than can be accessed and synchronized to employees’ devices. This posed a major pain point for employees outside the company as real-time calendar notifications could not be accessed on their personal devices. And what they needed was high security together with maximum convenience.
That’s when they contacted Connecting Software.
Now, our CB Exchange Server Sync application synchronizes the mailbox calendars on both servers, thus enabling real-time calendar updates even when employees are outside of the company using their own devices.
This is one synchronization solution implemented in a high-security sector. But we have experience with many more, so talk to us about your specific needs today.
Easy synchronization is here to stay
CB Exchange Server Sync is a small service ensuring the periodic synchronization of individual Exchange accounts. This synchronization can be one-way with items being synchronized from one account into the other one, or two-way with items being synchronized among both accounts.
The service also provides a graphical user interface to configure the synchronization options, such as the synchronization period, the items to synchronize and so on. The synchronization process runs in parallel with Microsoft Exchange services in a non-blocking mode, thus it has no impact on the general performance of Exchange server itself whatsoever.
Additionally, the resulting synchronized data can be displayed in any client interface of choice, such as Outlook, Mozilla Thunderbird and Apple Mail, as the synchronized data stays stored in your server account.
So, no matter your synchronization needs, or how many Exchange / Outlook, O365 accounts you have, this is your synchronization and migration solution.
